Household Contact Tracking [Feature]

This feature allows users to identify the households being contacted as part of a Household Contact, along with the contact date, method and outcome.

To use this feature: 

  • Click on Visits on the main site dashboard.
  • Scroll down to the Household Contacts subcategory.
  • Click the blue +Add Household Contact button.
  • Complete the following fields:
    • Status: select Open or Closed.
    • Date Household Contact Initiated by Sponsor (required): select the date the contact was initiated.
    • Date Household Contact Closed by Sponsor: select the date the contact was closed.
    • Reason for Household Contact: enter in the reason for the contact.
    • Date Range to be Verified by Household Contact: this must be completed in order to save the Household Contact. This is the time-frame where you want to pull the list of contacts from.
    • Notes: optional for more details.
  • Click the green Confirm Household Contact Date Range button. Please note that once you confirm the date range, it cannot be changed and will be greyed out. 

    Once the date range is confirmed, a List of Active Participants will appear on the screen. 

    • From the Select Household(s).. drop-down menu, select specific households to add, or select all.
    • Click the blue +Add Household(s) button.

    Once you have selected the household(s), each one will appear with the following fields: 

    • List of Active Participants
    • Which guardian(s) was the household contact sent to: check the box next to the guardian that was contacted.
    • Method of Contact: enter the way in which the guardian was contacted, such as email, phone or text message.
    • Date Contact Sent: select the date the communication was sent.
    • Date Response Received: select the date that a response was received from the guardian.
    • Comments: optional to note if there was no response, what the response was, etc.
    • When all of the information has been entered, scroll to the bottom and click the green Save button.
    • If you need to add another household, click on the Select Household(s)... drop-down and select the name. Then click the blue +Add Household(s) button.
    • If you need to remove a household, click the red Remove Household button.
