Upload Daily Attendance

We have the ability to upload daily attendance instead of entering it for each day. The upload can accommodate either daily attendance or in/out times.


The format of the upload file is very important!


You can download a template by clicking here or you can open a blank spreadsheet and follow the instructions below.

Column 1 (required)

  • In the first row, type "ExternalChildId"
  • In the second and following rows, you want to enter the ID number from My Food Program, which is located on the participant page:

If you need to change the My Food Program participant ID to match an external system, you can edit the ID. Be sure to click Save when you have changed the ID.

Column 2 (required)

  • In the first row, type "FirstName"
  • In the second and following rows, you want to enter the first name from My Food Program, which is located on the participant page.

Column 3 (required)

  • In the first row, type "LastName"
  • In the second and following rows, you want to enter the last name from My Food Program, which is located on the participant page.

Column 4 (required)

  • In the first row, type "Date"
  • In the second and following rows, you want to enter the date for which you want to record attendance


If you are doing daily attendance and do not need in/out time stamps, then this is the last column.

Column 5 (optional for daily attendance, required for in/out method)

  • In the first row, type "InTime"
  • In the second and following rows, you want to enter the arrival time for the participant and date.

Column 6 (optional for daily attendance, required for in/out method)

  • In the first row, type "OutTime"
  • In the second and following rows, you want to enter the departure time for the participant and date.

Upload Instructions

  • Ensure that your file is saved as CSV (Comma delimited)
  • Click on "Upload Daily Attendance" from the main site dashboard
  • Click "Choose File" and select the file you saved earlier
  • The system will automatically upload the attendance
  • If any attendances are not uploaded, they will appear on an error file. You should download the file and resolve any problems

The most common error will be that the participant cannot be found. This would happen if you have a child on your attendance sheet that has not been added to My Food Program. Remember that the ID number is how My Food Program matches up the children.
