Participants Observed or Expected at a Visit

During a monitoring visit, sponsor staff might be required to mark which participants were observed during the monitoring visit and those that are expected to be claimed. A monitor would mark a participant as "expected to be claimed" if:

  • The participant ate the meal and departed the facility prior to the monitor's arrival or
  • The participant is going to arrive and eat the meal after the monitor departs


This feature works in conjunction with the setting in Site Details for Disallow Meals if Participant is Not Observed or Expected at Site Visit.

To mark the participants that were observed or expected to be claimed for a site visit:

  • Click on Visits from the main site dashboard
  • Select the visit date from the list of visits
  • Scroll to the bottom of the page
  • Mark the participants that are approved for the site to claim
  • Click the green Save at the bottom of the screen


Note

If the box is checked in Site Details to Disallow Meals if Participant is Not Observed or Expected at Site Visit, then My Food Program will disallow meal counts for any participants marked in by the provider or center but NOT marked as observed or expected by the monitor.


During Check for Errors, the provider or center will see the error "Participant Not Observed or Expected at Site Visit"
