License Capacity by Age Range: Setting Capacities at the Site Level

License Capacity by Age Range is one of the two methods available to ensure that providers and centers are claiming meals within their licensed capacity and is set in Sponsor Setup using a dropdown called License Capacity Method.


  • At the Sponsor Level the age ranges are defined
  • At the Site Level the capacities for each age range are set, which is the subject of this article
  • If needed, an age range capacity can be supplemented with an Age Range Combination

To set an age range capacity at the site level:

  • Click on Site Details from the main site dashboard
  • Scroll down to the section titled Site Licensing
  • Click on the blue "Add License" button
  • An empty row will appear for you to complete
    • Capacity is the number of participants that are allowed in the facility for the designated age range
    • License Age Range are set at the sponsor level
    • Night Capacity: if the facility can have a different number of children depending on the time of day (for example, overnight care), then you can set a separate "day" capacity and "night" capacity. Typically, you will want to leave this box unchecked.
  • Click Save

Note that if you have an overall license capacity in addition to age range limits, you can also enter Age Range Combinations
