Creating a Food Production Record for Multiple Meals

A food production record is a log of how much food was made to feed the participants at a meal or snack. Food production records are often used to confirm that each participant received a portion size of each food item to satisfy the meal pattern requirements.

Notes About Food Production Records

  1. There must be a menu entered in order to create a food production record.
  2. Once a food production record is finalized, the menu can no longer be edited.
  3. Food production records can be deleted until a site clicks "Submit to Sponsor".

Creating a Food Production Record for Multiple Meals

  • Click on “Menu” on the main dashboard. This will take you to the menu calendar.
  • At the top of the menu calendar, click on the button that says Food Production Estimates

Next, select your Estimate Type and enter the date range for which you want to create food production records. In the dropdown menu for Estimate Type, there are two choices:


Estimate Method #1: Based on Participant Schedule

This method calculates differently if the dates selected are in the future or if they are today or in the past.

  • If the date entered is in the future, then the estimates will be based on participant schedule. If there are no participant schedule in My Food Program, all food production estimates will be zero.
  • If the date entered is today or in the past, then the estimates will be based on meal participation.
  • There is also an option to "Use Maximum from Past 5 Days". In this instance, the food production estimate will be the same as the meal participation that is the highest from the most recent 5 days. If there is no meal participation entered in the prior 5 days, then the food production estimates will be zero.

Estimate Method #2: Based on Manual Input


  • This method takes the numbers that are entered by the user and does not look at participant schedules or meal participation. 
  • There is also an option to "Use Maximum from Past 5 Days". In this instance, the food production estimate will be the same as the meal participation that is the highest from the most recent 5 days. If there is no meal participation entered in the prior 5 days, then the food production estimates will be zero.
