Participant Not in Attendance During Meal Time

How it Gets Triggered

This error applies in two situations:

  1. When the site is using in/out times for attendance. This error occurs when a participant is checked in for a meal when their time in indicates that they were not in attendance at meal time.
2. When the error "Compare Participant Schedule to Meal Time and Disallow if Participant Not Scheduled for Meal Time" is checked and the participant schedule indicates that they are not in attendance during the meal time.

How to Get Details

  • The meal count page will have information about the meals that the participant was checked in on. 
  • The attendance page will have the time in and time out. 
  • Site Details will have information about the meal times.
  • The participant page will have the child's schedule.
  • The Disallowed Meals Report will list the participants with this error. For this error, we recommend that you run the Summary version of the report.

What the Provider or Center Can Do

Adjust any incorrect time in or time out records, participant schedules, meal attendance* or meal times.


*If you have attendance and meal counts on separate screens, the meal count screen is filtered to only show participants that were in attendance at the meal time. If the arrival or departure time was adjusted after the meal count was entered, you might not see the meal count on the screen. In other words, the meal count has been "filtered out" because the participant is not in attendance.


So in order to remove the meal count, first adjust the arrival and departure time, remove the meal count, then adjust the arrival and departure time back to the correct times.

What the Sponsor Can Do

  1. Uncheck the box for "Compare participant schedule to meal time and disallow if participant not scheduled for meal time"
  2. If the claim is already created and you want to override this error and include the meals in the claim for reimbursement, you can create a manual claim adjustment.
