Guide to Attendance using Daily/"Present"

What is daily or "present" attendance?

Daily or "Present" attendance means that you need to record whether a participant attended the facility at any point during the day without specifying an arrival and departure time (in/out times).

How do I take daily attendance?

  • You will start by clicking the button on your main site dashboard.
  • Depending on your configuration, your button might look like any of those below:
  • Choose the roster from the dropdown or click Select to see all participants
  • Change the date if needed
  • Click the checkbox next to the name of the participant
  • Remember to click save!

When can daily or "present" attendance be taken?

That depends on your sponsor settings. Sponsors can restrict users to the following time frames:

  • By midnight of each day
  • By a certain day of the week
  • By a certain day in the calendar month (for the month prior)


In addition, attendance cannot be taken if you have already submitted your claim to your sponsor for the month or if there is a closure or holiday entered.

There is a participant missing from the attendance list. What is wrong?

If a participant is not on the screen, check the following:

  1. You are looking at the correct roster for that participant. If you aren't sure which roster a participant is on, choose "Select" from the roster dropdown to see all participants.
  2. Make sure the roster that the participant is on is active.
  3. Check the start date for the participant. We won't show a participant on the meal count screen if
    • the meal date is before the participant start date or
    • the participant is inactive on the meal date

There is a participant who ate breakfast and lunch and then left. Should I uncheck the box for "Daily Attendance" on the pm snack page?

No. Daily or "Present" attendance means that a participant attended the facility at any point during the day. If you uncheck the box for attendance, then the system will automatically remove all meal counts. (If a participant didn't attend, they couldn't have eaten!)

What is a "Note to Sponsor"?

A "note to sponsor" is a text box where centers, sites and providers can enter information about the day that cannot be recorded elsewhere. My Food Program has specific places to record:

  • Facility closure
  • Scheduled field trip
  • School release or summer day
  • A child eating a meal outside of their typical schedule
  • Food temperatures
  • Food delivery information


If you have information outside of these, then you can type them in a box for "Notes to Sponsor". You might not see this box, depending on your sponsor settings.

Do I need to enter anything in for "Absence Reason"?

If you see the option to record an absence reason, you should type a note in the box for every participant that does not have daily attendance. You might not see this option, depending on your sponsor settings.
